General Reservation Terms and Conditions
Passenger and Luggage Limits:
Each vehicle has a maximum passenger capacity and luggage limit as per manufacturer specifications and state regulations. Adhering to these limits ensures a safe and comfortable journey.
Rental Period:
A minimum rental period of three (3) hours applies. For rentals under three hours, the three-hour rate will be charged.
Toll Taxes:
For airport pick-up or drop-off services at Logan Airport, a two-way toll applies as per Airport Authority rules.
All tolls for non-airport routes are included in the fare. For long-distance services, tolls and parking fees may vary and must be paid in cash to the driver or by credit card after the service concludes.
Weather and Security Cancellations:
In severe weather conditions (e.g., snowstorms) or in cases of serious national emergencies, CharterBusMaine reserves the right to cancel services. In such scenarios, a full refund will be provided.
Holiday Surcharge:
An additional $50 surcharge applies on public holidays.
Gratuity:
A 20% gratuity will be automatically added to all services.
Night Charges:
Services scheduled between 8:00 PM and 5:00 AM incur an additional $50 night charge.
Cancellation and Refund Terms and Conditions
Cancellation Rules:
All cancellations must be made via email with full booking details. Cancellations by phone are not accepted. A minimum of one (1) week’s notice is required.
Refund Policy:
- Full Refund: Cancellations made at least 30 days before your scheduled ride qualify for a 100% refund of your deposit.
- 50% Refund: Cancellations made 20–29 days before your scheduled ride qualify for a 50% refund of your deposit.
- 25% Refund: Cancellations made 12–19 days before your scheduled ride qualify for a 25% refund of your deposit.
- No Refund: Cancellations made less than 12 days before your scheduled ride will not be eligible for a refund.
Wait Time Terms and Conditions
Airport Pick-Ups:
- Domestic Arrivals: A 30-minute grace period is provided.
- International Arrivals: A 60-minute grace period is provided.
Non-Airport Pick-Ups:
A 15-minute grace period is allowed before wait time charges begin.
Wait Time Charges:
After the grace periods, wait time charges apply at a rate of $150 per hour for vans and buses.
Responsible Usage Policy
Client Responsibility:
The client is responsible for any damage caused to the vehicle by themselves or their party during the rental period. A sanitation fee of $250 will be applied for smoking, vomiting, or trashing the vehicle. Damage to onboard equipment (e.g., TVs, radios, DVD players) will incur a minimum $400 fee.
Prohibited Activities:
Smoking, standing through the sunroof, and drug use are strictly prohibited.
Drug use will result in immediate termination of the ride without a refund, and any legal fines or fees will be the client’s responsibility.
Drivers reserve the right to terminate service immediately if clients engage in inappropriate behavior, without any refund.
Liability Disclaimer
CharterBusMaine is not liable for mechanical breakdowns. In the event of a breakdown, a replacement vehicle or a makeup service will be provided.
CharterBusMaine is not responsible for delays caused by unsafe road conditions, winter weather, or for any personal items left behind in the vehicle.
Payment Terms
Full payment must be made prior to the start of the service. Credit card payments are processed 24 hours before the service date. Cash payments must be provided to the driver at the beginning of the service.
Overcapacity and Additional Charges
Overloading vehicles beyond their seating capacity is illegal and strictly prohibited.
Fuel surcharges and overtime charges may apply for travel exceeding 25 miles from the origin city.
Infant and Child Seats
Infant and child seats are available only in vans.
